Privacy policy

This privacy policy explains what information Soft Play Spectacular collects when you enquire about, or book, our soft play hire, how we use it, and the rights you have under UK data protection law. We've tried to keep it in plain English.

Who we are

Soft Play Spectacular is a small independent soft play hire business based in Walsall, West Midlands, serving Walsall, Aldridge, Sutton Coldfield, Brownhills, Cannock, Great Barr and Lichfield. For any privacy question you can email bookings@softplayspectacular.co.uk. We are the data controller for personal information you share with us in connection with a booking or enquiry.

What information we may collect

When you contact us or send a booking request through the website, email, WhatsApp or social media, we may collect:

  • Your name
  • Your email address
  • Your telephone / mobile number
  • Your event date
  • Your event postcode or location information
  • The package you're interested in
  • Any information you voluntarily include in your message
  • Relevant booking and payment records
  • Basic technical website information (for example, information that helps keep the website secure) — see our cookie policy for detail on cookies and analytics.

Why we use your information

We use the information you share to:

  • respond to your enquiries and questions;
  • check availability for your date;
  • manage and organise your booking;
  • communicate with you about your booking;
  • take and record payments where applicable;
  • deliver and set up the hired equipment on the day;
  • keep appropriate business and financial records;
  • prevent misuse of the website (for example, spam submissions);
  • maintain the security of the website; and
  • understand website performance where consent or the legal basis allows.

Sharing your information

We do not sell your personal information to third parties. In order to run the business we may use a small number of trusted service providers who process limited information on our behalf, for example:

  • the provider hosting this website;
  • our transactional email provider (currently Resend), which delivers booking notification and confirmation emails; and
  • where introduced, a payment provider and/or an analytics provider — these would be listed here once in use.

These providers act on our instructions and only process the information they need to perform their service.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose it was collected, and to meet any legal or accounting requirements — for example, tax records must be retained for a period set by HMRC. When information is no longer needed it is securely deleted.

Your rights

Under UK GDPR you have rights over the personal information we hold about you, including:

  • the right to be informed about how we use it;
  • the right to request a copy (a "subject access request");
  • the right to have inaccurate information corrected;
  • the right to request deletion, subject to any legal or accounting obligations that require us to keep certain records;
  • the right to restrict or object to certain processing where applicable; and
  • the right to complain to the UK Information Commissioner's Office (ICO).

We take reasonable steps to protect the information you share with us. No system can be guaranteed to be 100% secure, but we take appropriate care to reduce the risk of loss or unauthorised access.
